Internal Whistleblowing System to Promote Fair Conduct

Dřevotvar Cooperative (hereinafter referred to as the “Cooperative”), in accordance with Act No. 171/2023 Coll., on the Protection of Whistleblowers (hereinafter referred to as the “Act”), hereby establishes and further specifies the rules governing its internal whistleblowing system.

The purpose of these rules is to provide channels for reporting potential unlawful conduct, to ensure the protection of whistleblowers’ identities, and to ensure their protection against retaliatory measures.

Unlawful conduct within the meaning of the Cooperative’s Internal Whistleblowing System means unlawful conduct that has occurred or is about to occur and that:

1. constitutes a criminal offense
2. constitutes an administrative offense for which the law prescribes a fine exceeding 100,000 CZK
3. violates other legal regulations listed in Section 2(1)(d) of the Act.

Any reports are received and assessed by the appropriate persons and are subsequently handled in accordance with Sections 11 and 12 of the Act.

A submitted report must include the reporter’s first name, last name, and date of birth, or other information from which the reporter’s identity can be determined. The report need not include this information if it was submitted by a person whose identity is known to the authorized person.

The cooperative has designated the following authorized persons:

The cooperative has established an internal reporting system for all reports filed under the Act and, for this purpose, has set up the following methods for submitting reports:

1. electronically to the email address nada.duskova@drevotvar.cz
2. in writing to the employer’s address: Dřevotvar družstvo, Slezská 535, 561 64 Jablonné nad Orlicí; the envelope must be clearly marked “DO NOT OPEN, for the attention of the appropriate person”
3. in writing to the designated confidential drop box located in the cooperative’s cafeteria
4. or by phone to the designated contact person’s number, Monday through Friday from 9:00 a.m. to 1:00 p.m.
5. in person, if the whistleblower requests it

If a report is submitted through channels other than those listed above, the cooperative cannot guarantee the protection of the whistleblower’s identity and the information contained in the report in accordance with the law.

In addition to submitting a report through the Internal Reporting System, the reporter may use the Ministry of Justice’s external reporting system. In the event of suspected criminal activity, a report must be filed with law enforcement authorities, specifically the Czech Police.

The processing of personal data in connection with the submission of a report, including its storage, is carried out in accordance with generally applicable legal regulations on the protection of personal data. By submitting a report, the reporter consents to the processing of their personal data.
